JOB RESPONSIBILITIES & SCOPE OF WORK:
Document Management

Receive, organize, label, archive, and distribute project documents (e.g., contracts, reports, technical
specifications).
?
Maintain and update document control systems, ensuring version control and accessibility for
stakeholders.
?
Prepare and compile contract documents, progress reports, and financial invoices for client submission.
Coordination & Communication
?
Arrange meetings with clients, consultants, and contractors; prepare and distribute meeting minutes.
?
Disseminate contract documents and correspondence to relevant parties.
?
Collaborate with suppliers and internal teams to ensure timely delivery of project Documents.
Compliance & Quality Assurance
?
Ensure all documentation complies with company standards and regulatory requirements.
?
Monitor document workflows to avoid delays or errors, and conduct regular audits for accuracy.
Support & Reporting
?
Assist managers in tracking project schedules, budgets, and deliverables.
?
Generate document status reports and maintain records for future reference..
QUALIFICATIONS & SKILLS:
?
Bachelor’s degree in a relevant field (e.g., Business Administration, Engineering, or Information
Management).
?
Proficiency in English (written and spoken); additional language skills are a plus.
?
3+ years of experience in document control, project administration, or related roles.
?
Familiarity with project lifecycle documentation from engineering, procurement, construction, to
commissioning and handover.
?
Advanced computer literacy, including MS Office (Word, Excel, PowerPoint) and document management
software (e.g., SharePoint,).
?
Detail-oriented with strong organizational and multitasking abilities.
?
Proactive problem-solving skills and ability to work under tight deadlines.
?
Team player with excellent communication and interpersonal skills
