Job Summary
We are seeking a reliable and detail-oriented Office Manager & Administrative Assistant to support the establishment and daily operations of our Shanghai office, the subsidiary of a trading company handling physical commodities, trading with steel mills, steel processors and traders.
This role will initially focus on office setup and administration, including office leasing, decoration, furnishing and coordination with external service providers. After the office is fully established, the role will expand to include order follow-ups, documentation and general administrative support.
Key Responsibilities
Initial Phase / Office Setup & Administration
§ Assist in office leasing matters, including liaising with landlords and agents
§ Coordinate office decoration, renovation, and furnishing
§ Manage procurement of office equipment and supplies
§ Liaise with external parties (e.g. accounting/tax service providers, building management)
§ Support communication with headquarters regarding taxation and compliance matters
Ongoing Office & Business Support
§ Handle order follow-ups, basic coordination with internal teams and external partners, reporting to the head of the China office
§ Prepare, organise and maintain business documentation and records
§ Provide general administrative and office management support
§ Assist management with ad-hoc tasks as required
Key Requirements
§ Education: University degree (Bachelor’s degree or above)
§ Working Experience: Minimum 3 years of relevant working experience, preferably in administration, office management or assistant roles
§ Skills & Competencies: Strong organisational and multitasking skills
§ Good communication and coordination abilities
§ Familiarity with office setup, administration, or vendor coordination is an advantage
§ Proficient in MS Office (Word, Excel, PowerPoint)
§ Responsible, proactive, and detail-oriented
§ Languages: Fluent Mandarin (spoken and written), Fluent English (spoken and written)
§ Experience working in a foreign-invested company is a plus, particularly in the field of commodities, trading, or manufacturing.
§ Prior exposure to office setup or relocation projects is an advantage
§ Able to work independently and handle confidential information
§ Stable employment history preferred
