學(xué)部校長(zhǎng)助理將為學(xué)部校長(zhǎng)在所有與學(xué)校事務(wù)相關(guān)的工作中提供并管理機(jī)密支持。該崗位人員需具備出色的組織能力和時(shí)間管理能力,并具備專業(yè)的電子郵件及電話溝通禮儀。理想情況下,候選人應(yīng)有在繁忙的學(xué)校環(huán)境中工作及支持高層管理人員的相關(guān)經(jīng)驗(yàn)。同時(shí),該崗位要求候選人具備流利的中英文雙語(yǔ)能力。
The Personal
Assistant to the Head of School will provide and manage confidential support to
the Head of School with all activities related to school business. The person
in post will have excellent organizational and time management skills as well
as a professional email and phone etiquette. Ideally, the person in post will
have experience in a busy school environment and supporting staff at a senior
level. The person will be completely bilingual in Mandarin and English.

- 建立并維護(hù)良好關(guān)系,并在適當(dāng)情況下與校內(nèi)教職員工以及校外家長(zhǎng)和來(lái)訪人員溝通交流。
- 負(fù)責(zé)學(xué)部D365系統(tǒng)PR提交工作。
- 全面了解并掌握學(xué)部校長(zhǎng)的工作量、優(yōu)先事項(xiàng)和各類承諾,能主動(dòng)預(yù)判并提前處理相關(guān)事務(wù)。
- 根據(jù)需要,承擔(dān)由學(xué)部校長(zhǎng)委托的專項(xiàng)項(xiàng)目或調(diào)研工作。
- 負(fù)責(zé)安排和支持由學(xué)部校長(zhǎng)主持的主要會(huì)議和活動(dòng),包括制定日程、會(huì)務(wù)服務(wù),以及安排臨時(shí)會(huì)議。
- 必要時(shí)陪同學(xué)部校長(zhǎng)參加會(huì)議,進(jìn)行口譯、會(huì)議記錄,并跟進(jìn)落實(shí)相關(guān)行動(dòng)事項(xiàng)。
- 在需要時(shí)代表學(xué)部校長(zhǎng)出席會(huì)議,并及時(shí)反饋會(huì)議信息。
- 管理學(xué)部校長(zhǎng)的預(yù)算,及時(shí)維護(hù)預(yù)算和付款報(bào)告。
- 確保學(xué)部校長(zhǎng)相關(guān)會(huì)議和活動(dòng)所需的茶歇、設(shè)備等得到妥善安排。
- 根據(jù)學(xué)部校長(zhǎng)的要求,起草各類函件,并進(jìn)行中英文翻譯。
- 負(fù)責(zé)接收和分發(fā)需學(xué)部校長(zhǎng)簽署的表格和文件。
- 始終保持專業(yè)、友好的態(tài)度,積極耐心地處理各類咨詢與投訴。
- 完成高級(jí)管理團(tuán)隊(duì)合理安排的其他工作。
- Provide and manage confidential support to the Head
of School with all activities including diary and email management,
planning and organization. - Build strong relationships and, where appropriate,
communicate with internal staff and external stakeholders such as parents
and visitors. - Responsible for submitting PRs in the D365 system for
the School. - Maintain a high degree of awareness of the Head of
School’s workload, priorities and commitments, anticipating actions and
requirements on their behalf. - Discrete project work/undertake research on behalf of
the Head of School. - Manage the scheduling and servicing of the main
meetings and events which the Head of School chairs, and arranging ad hoc
meetings as required. - Attend meetings with the Head of School to translate,
take minutes and take forward the follow-up actions (when required). - Represent the Head of School, where necessary, at
meetings and feed back afterwards. - Manage the Head of School’s budget, keeping
up-to-date budget and payment reports of the accounts. - Ensure refreshments and any necessary equipment is
provided for all meetings and events related to the Head of School. - Draft correspondence, including translation, as
requested by the Head of School. - Receive and distribute forms and documents for the
Head of School’s signature. - Maintain a helpful, professional demeanor at all
times and receive queries and complaints in a calm, positive and
reassuring manner. - To undertake such other tasks as may be reasonably
required by the Senior Management Staff.
