Executive Assistant
Job Profile Summary
Responsible for supporting assigned teams/leaders by providing proactive assistance and administrative support to shanghai office daily operation, in order to enhance efficiency and deliver effective solutions.
Key Accountabilities:
? Professional guest reception, greet and welcome visitors in good manner.
? Meeting room booking arrangement &meeting room daily check-up accord to standard, good meeting room environment tracking. Meeting room facility checking & setup before each meeting upon user’s requirement.
? In charge of stationery application.
? Support the team with administrative and required matters.
? Co-work with other team in support IT equipment coordination, RE management and accounting-related activities.
? Be responsible for complex global travel arrangements, compile itineraries, anticipate visa requirements and applications where applicable.
? Collate expense receipts, prepare monthly submissions, reconcile and submit on time.
? Other tasks assigned by office head
Skills & Competencies
? University degree in any discipline
? Self-motivated, proactive, takes ownership
? Excellent organization skills - planning and systematic management
? Strong interpersonal skills, ability to build strong internal and external relationships, customer service, team player, work globally across cultures
? Good verbal and written communication skills
? Fluency in Chinese, English, and Japanese
