Responsibilities:
Front Desk Secretary
· Answer, screen and route incoming calls and take messages for appropriate individuals and/or teams;
· Greet and announce visitors and escort them to appropriate locations;
· Manage incoming post to ensure all items are dealt with promptly;
· Monitoring the reception area to keep it neat and tidy all the time;
· Work with documents: typing, formatting, preparing comparing;
· Maintain complete digital and paper client files;
· Open and up-date new client matter accounts; and record time for lawyers
· Prepare business meetings in and outside the office, arrange for business trips
· Handle reimbursement of expenses for lawyers
· Evening telephone service once a week (10:00-19:00)
· Back up other secretaries during their absence
BD and Marketing Assistant
· Edit and format marketing materials (brochures, presentation and other promotional materials);
· Edit and maintain the firm’s online platforms;
· Assist in distribution of newsletters;
· Collect credentials and update the credentials list;
· Assist in preparing pitch documents;
· Assist in submissions to award institutions;
· Support events;
· Track and archive BD data;
· Prepare BD report;
· Assist in other BD and Marketing activities.
Requirement:
· 3-5 years related experience. Prior professional services industry experience preferred.
· Fluency in spoken and written English and Mandarin.
· Advanced computer skills, in-depth knowledge of PPT, MS Excel, Word and Outlook required.
· Good design skills are preferred;
· Ability to work well with colleagues.
· Excellent problem-solving and a strong customer focus are required.
· Candidates must possess a tenacious attitude towards ensuring data accuracy with a strong attention to detail.
