Responsibilities
Student Attendance Management
? Accurately record daily student attendance using the school’s attendance management system, based on communications from parents/guardians via email and phone.
? Promptly communicate with parents/guardians regarding student absences and follow up as needed.
? Collaborate closely with teachers, the pastoral team, and nurses to ensure attendance records are accurate and up-to-date.
? Handle parents’ emails and phone calls on behalf of the school pastoral leader.
? Manage and maintain accurate records of students’ early departures and late arrivals.
? Prepare regular attendance reports for the leadership team and for student events as required.
? Support school events or initiatives aimed at attendance awareness and improvement.
? Assist in implementing attendance policies and procedures aligned with school and regulatory requirements.
? Provide attendance-related support for admissions and enrollment processes.
? Work closely with the School Bus Office when necessary, including managing student late late bus sign-ups.
? Maintain confidentiality and ensure data protection when handling student attendance records.
Administrative Support & Customer Service
? Assist the Senior School Office Manager with daily operational tasks when necessary.
? Responsible for distributing items to students, including downloading relevant information from internal systems, organizing distribution lists, such as school magazines, yearbooks, photos etc. Ensure accurate tracking, timely distribution, and proper record-keeping to confirm all students receive the correct materials.
? For mid-term new student enrollments, forward parents relevant Senior School policies and the annual online consent form for Educational Trips and Visits Off-Site.
? Collaborate with the Senior School administrative team to support various aspects of school-related activities.
? Provide general administrative assistance to teaching staff as required.
? Answer general incoming phone calls and in-person inquiries, taking and relaying messages effectively to staff and students.
? Deliver high-quality customer service with efficiency and professionalism.
Managing Lost and Found
? Oversee the student lost & found, promptly notifying students when items are identified.
? Valuable items such as phones, wallets, earphone, lunch card etc. must be securely stored until personally claimed and keep relevant records.
? When a student card is lost and needs to be reissued, send the student a link to apply for a replacement card and assist them in completing the application process.
? Ensure Lost and Found are regularly cleaned and organized.
? Remind students to claim lost items at the end of the term and handle unclaimed items.
Additional Responsibilities
? Organize student files according to updated lists of new and departing students provided by the Admissions Department. Download lists from the system if needed.
? Download student reports from the system and send them to parents upon request. Print and stamp the reports if necessary.
? Responsible for printing the termly award certificates
Support other duties as assigned by the line manager to ensure smooth operation of Senior School administrative functions
Skills and Experience Required
? Previous administrative or clerical 2-3 years related working experience, preferably in a UK/International educational or school setting.
? Bachelor’s degree preferred but character more important
? Good attitude to work, sense of initiative and strong responsibility
? Possess excellent communication and interpersonal skills, with the ability to collaborate efficiently and build strong, trust-based relationships with team members.
? Strong organizational and multitasking abilities.
? Proficient in Microsoft Office and other relevant software applications
? Ability to speak Chinese and English at a proficient level
? Ability to maintain confidentiality and handle sensitive information with discretion.
