Responsibilities
Support to Department Manager
- Provide comprehensive administrative support, including managing calendars, arranging travel, and conducting data collection, consolidation, and basic research to support decision-making and reporting.
- Organize internal meetings and workshops, prepare agendas and take meeting minutes as required.
- Draft and distribute department internal notices and official correspondences, update organization charts, etc.
Office Administration
- Provide logistics support for global team visits, including invitation letters, accommodation, transportation, etc.
- Organize 100+ people events such as team-buildings, outings, annual dinners, and celebrations.
- Coordinate new hire onboarding, facilities maintenance, office supplies procurement, and distribution of labor union benefits.
- Serve as the site owner for department SharePoint site, managing user access and permissions.
- Act as contact window, to liaise with company Marcomm, Admin, HSE, labor union, etc.
Commercial Support
- Support daily commercial process, including contract chop management, and documents checking & stamping.
Additional Duties
- Perform other business-related tasks assigned by the department manager.
Qualifications
- Bachelor’s degree in English, Administration, or other related majors.
- Over 5 years of relevant working experience in a multinational company.
- Good English language skills in both written and spoken.
- Team player with a high standard of integrity, self-motivation, discipline, and a strong sense of responsibility.
- Fast learner with a proactive and positive attitude.
- Able to be an effective contributor when working in a multi-cultural team environment.
